An exciting opportunity with Africa’s leading wholesaler in PPE and related products to join the team as a Receptionist/Office Assistant. This role is for a candidate that will have a warm welcoming presence at the entrance of Dromex offices, which builds good engagement with all employees, customers and service providers. This team member assists with answering calls, office administration and crucial support that is provided to support services at Head office.
DUTIES & RESPONSIBILITIES
· Responsibility of reception and handling all calls from switchboard and taking messages
· Admin duties such as managing mailbox and distribution of emails and prints to sales department
· Housekeeping of the front-desk area
· Welcoming of all customers, suppliers and service providers
· Ordering and maintaining office supplies
· Reviewing of office supplies upon receipt from service providers
· Administrative support to departments (support services)
· Sending couriers and receiving courier deliveries
· Forward relevant website enquiries to relevant branch / sales person
· Dispatch schedules via MS Teams
· Support with meeting room bookings
· Daily reporting on timekeeping and absence
· Office equipment maintenance – Refill paper, order and monitor toner usage
· Update staff contact list including extensions– on server / MS Teams
· Update customer listing
· Filing Tax Invoices
· Continuous learning and engagement on product knowledge (trends and changes in product range – new/old)
· Attend to all emails, queries and complaints and ensure its addressed timeously
· Communicate and collaborate with sales and marketing department
· Sharing customer feedback based on calls received
· Attend and engage in training sessions
· General Ad-hoc duties
MINIMUM REQUIREMENTS:
· 3-5 Years of experience in reception/office assistant within Industry (PPE- Workwear)
· 2-4 Years of direct marketing or sales work
· Understand safety legislation/committee affiliation - SABS & SAIOSH
· Proficiency in MS Office 365
· Proficiency in Adobe Suite programs
· Strong administrative skills
· Ability to communicate effectively and have good negotiation skills
· Innovative approach and customer-focused
· Excellent people and organising skills to build relations with stakeholders and network
· Good decision-making skills and response to high-pressure situations
· Accountable, Pro-active, Resourceful and Reliable
