JOB MISSION:
As a project manager overseeing the office move of our Amsterdam office, your primary responsibility is to ensure a smooth and successful relocation of the office while minimizing disruption to the business operations. The Project Manager will be the go-to person for anything office move-related, for all our New Balance Associates and stakeholders.

This role will be reporting to our EMEA Financial Director, and working closely with the wider finance team ensuring budgets are monitored and controlled accordingly. Your role involves coordinating various aspects of the move, collaborating with different teams, and managing the full project scope from initiation to completion.MAJOR ACCOUNTABILITIES:
- Project Planning: Develop a comprehensive project plan for the office move, including timelines, budget, resource allocation, and risk assessment.
- Stakeholder Management: Identify and engage with relevant stakeholders, such as senior management, department heads, employees, vendors, and external contractors. Maintain effective communication throughout the project.
- Budget and Resource Management: Monitor and control the project budget, ensuring that expenses are within approved limits. Coordinate resources, both internal and external, required for the move.
- Vendor Selection and Management: Identify and engage with vendors and service providers required for the office move, such as movers, IT technicians, interior designers, and contractors. Manage vendor contracts and ensure service level agreements are met.
- Space Planning and Design: Collaborate with relevant teams to develop the office layout, ensuring efficient space utilization and a conducive work environment.
- IT and Infrastructure Coordination: Coordinate with IT teams to plan and execute the relocation of technology infrastructure, including servers, network equipment, computers, and phone systems. Ensure minimal downtime and a smooth transition.
- Furniture and Equipment Procurement: Identify furniture and equipment needs for the new office space. Coordinate the procurement, delivery, and installation of these items.
- Change Management: Develop and implement change management strategies to facilitate a smooth transition for employees. Provide communication and training to help them adapt to the new office environment.
- Risk Management: Identify potential risks and develop contingency plans to mitigate them. Monitor project progress and take proactive measures to address any issues or roadblocks.
- Quality Assurance: Ensure that the office move meets the desired standards and specifications. Conduct inspections and quality checks to verify the completion of tasks.
REQUIREMENTS FOR SUCCESS:
- A bachelor’s degree in project management, business administration, or a related field is often preferred. However, relevant work experience and certifications (e.g. PMP – Project Management Professional) can also be considered in lieu of a formal degree.
- Proven experience in managing complex projects, preferably including office relocations or facility management projects.
- Meticulousness and thoroughness in overseeing project tasks and deliverables.
- Excellent verbal and written communication skills.
- Ability to effectively lead and collaborate with cross-functional teams and stakeholders.
- Strong organizational and time management skills to prioritize tasks, meet deadlines, and manage multiple project components simultaneously.
- Ability to identify and resolve problems effectively, making timely and sound decisions.
- Proficiency in budget planning, tracking, and resource allocation.
- Ability to adapt to changing project requirements and manage ambiguity.
- Familiarity with IT infrastructure, office space planning, and general facility management principles.
- Ability to identify, assess, and mitigate project risks.
- Knowledge of change management principles and strategies to support employees through the transition.
