Elekta Pte Ltd is recruiting an Order Fulfilment Manager, SEA North (TH, VN, MM, CA, LO)
The Order Fulfilment (OF) Manager, SEA North oversees all employees and activities within the OF Department in country of Thailand, Vietnam, Myanmar, Cambodia, and Laos. He/She is responsible for both operation and financial for Order to Cash cycle under OF function. This includes all project delivery activities from order entry, project management to clinical go live-handle order booking request to Order Committee, backlog management, demand planning & forecast, shipment planning & revenue forecast, shipped not accepted and income not invoiced (INI) follow-up, project management, procurement and logistics management, physical solution installation, customer training for clinical go live, and customer acceptance.
The OF activities consist of but are not limited to project administration, site readiness and project management. The OF Manager will provide guidance, instruction, direction, and leadership to the team to achieve key results in Revenue, Employee Loyalty and Customer Loyalty. The OF Manager is responsible for accurate and timely revenue tracking and forecasting for all Elekta solutions (to customer), along with the responsibility to deliver high client satisfaction at the completion of project delivery. The position will promote the proper and efficient use of project management techniques and tools by the department. The OF manager will be a driving influence to the team in guiding the team to meet monthly, quarterly and annual revenue, INI, expense and all OF efficiency targets. The OF manager is responsible for ensuring the team members receive continuous training, education, mentoring, empowerment, and guidance to excel and exceed the key performance indicators.

The OF manager will report actual and forecasted shipment, acceptance and revenue numbers regularly, analyse the backlog, shipment and project implementation progress, and develop appropriate corrective action plans as needed. Development and participation of setting annual revenue (delivery and acceptance) forecasts and budgets will be required.
The OF manager is responsible for coordinating import and export shipments with 3PL. You will liaise with 3rd party vendors for custom clearance. Along with to coordinate the projects from factories in UK, Beijing, Europe and U.S. to make the shipments arriving the sites (hospital) according to the project schedule. Additionally, you may need to provide support to Region Asia Pacific and Japan on a need basis.
Responsibilities
  • Responsible for Order Fulfilment (Order to Cash cycle) for both financial and operational- from order entry to clinical go live.
  • Participate in annual revenue and expense budget setting
  • Drive efficiency and improvement programs identified by self or by the Company.
  • Accountable for Elekta's Customer and Employee Loyalty Culture, closed loop processes and related process improvements within the OF organisation.
  • Continuous good communication internally (other department/ functional heads and Product Supply Centres) & externally (distributors, partners, suppliers and customers).
  • Follow strictly Elekta Compliance and Policy. Responsible for deployment and execution to the team.
  • Provide continued mentoring and leadership to employees
  • Establish career paths within OF Organization
  • Coordinate import & export shipment
  • Liaise with 3rd party vendor for custom clearance
  • Project coordination from factories (in UK, BJ, Europe, U.S.) to site (hospital)
  • Provide support to Region Asia Pacific & Japan as required
  • Identifying improvements in the logistic processes, such as calculating adequate levels of stock, defining optimal transportation routes, etc.
  • Developing and improving internal and external processes to meet company objectives.
  • Conducting logistic studies in order to verify financial feasibility of project implementations / alterations, supporting strategic management decisions.
  • Responsible for inventory allocation/reconciliation
  • Monitoring shipments progress from local and overseas warehouse to customer site
  • Coordinate with courier companies
  • Work closely with overseas 3PL on a daily basis
  • Handle Return Material Authority (RMA)
  • Assist on doing monthly shipment reports
  • Ad hoc tasks assigned by superior
  • Prepare shipping invoices/import/export and banking documents
Requirements
  • 5+ years of project management experience (medical software or hardware implementation is considered an asset and is preferred)
  • 4+ years of management experience with direct reports
  • 2+ years of revenue management and forecasting experience
  • Associate degree or above in Supply Chain Management, Logistics, or related discipline
  • 3 to 5 of experiences in the logistics field
  • Exercise judgment within defined procedures and practices to determine appropriate action
  • High command of spoken and written English
  • Attention to detail
  • Excellent time management and ability to prioritize tasks
  • Good team player
  • Proficiency in Microsoft office, Salesforce/Coupa would be an advantage
  • Hands-on experience in L/C operations
  • Experience in the medical field would be an advantage but not essential
